General Rules for Vendors:
1. Registration & Fees:
• All vendors must register in advance and pay any required booth fees.
• Vendor booths will be assigned on a first-come, first-served basis or based on specific criteria set by the organizer.
2. Booth Setup & Breakdown:
• Vendors must set up their booths within the designated time slots.
• Booths must be fully operational by the event’s start time.
• Vendors are responsible for breaking down their booths at the end of the event within the allotted time.
3. Space Allocation:
• Vendors must stay within their assigned booth space and not encroach on neighboring vendors’ spaces.
• Booths must be kept clean and organized at all times.
4. Product & Sales Guidelines:
• Only approved products listed in the vendor’s application are permitted to be sold.
• Vendors are responsible for all aspects of their sales transactions, including handling cash and payments.
• Vendors must comply with local laws regarding product sales (e.g., food safety, product labeling, and taxes).
5. Permits & Insurance:
• Vendors selling food or other regulated products must provide proper health permits and comply with all local health regulations.
• Vendors must carry their own liability insurance to cover potential damages or incidents.
6. Behavior & Code of Conduct:
• Vendors are expected to maintain professionalism and treat attendees and fellow vendors with respect.
• No aggressive sales tactics or disruptive behavior will be tolerated.
• Offensive or inappropriate content is prohibited from being displayed or sold.
7. No Refunds:
• In the event of a vendor cancellation, no refunds will be issued regardless of the reason or timing of the cancellation. We encourage vendors to carefully review their availability and commitment prior to booking.
• No-shows may not be invited back for future events.
8. Marketing & Promotion:
• Vendors are encouraged to promote their presence at the market through their own marketing channels (social media, email lists, etc.).
• Use of the event’s logo or name must be pre-approved by event organizers.
• Vendors grant permission to Seattle Women’s Network LLC and its partners/ organizers/vendors the use of photography/videography taken of them during the event as ‘model release’ for the purposes of marketing & media and agree to waive their right to any compensation.
Safety & Logistics:
1. Fire Safety:
• All vendors must comply with fire regulations, including proper spacing of booths and ensuring that electrical equipment is safe.
2. Waste Disposal:
• Vendors are responsible for removing their own trash and waste from their booth area.
• Recyclable materials must be separated and disposed of in the appropriate bins.
3. Parking & Loading:
• Vendors must adhere to the designated loading and unloading zones and times to avoid congestion.
4. Weather & Contingencies:
• If the market is held outdoors, vendors should be prepared for all weather conditions.
• In case of extreme weather or other emergencies, the event organizers will communicate cancellations or changes as soon as possible.
Legal and Liability:
1. Liability Waiver:
• Vendors participate at their own risk and must and agree to fully release, waive, discharge and hold harmless Seattle Women’s Network LLC and its partners/ organizers/vendors from all liability in connection with my participation at the Diwali event being held on September 21st, 2025.
• Vendors understand agree that to participate they need to be an adult over the age of 21+ and fully aware of the risks and hazards associated with their participation in this event and consumption of alcohol and voluntarily assume full responsibility of personal injury or loss during the event and further acknowledge that they are not entitled to any compensation, benefit or insurance coverage from Seattle Women’s Network LLC and its partners/ organizers/vendors, nor will such a claim be made by me or on my behalf.
• Vendors agree that they have read this, Waiver of Liability, and understand its terms, and will voluntarily execute it with full knowledge of its significance.
2. Compliance with Laws:
• Vendors must have a valid WA business license to participate in this event
• Vendors must comply with all applicable local, state, and federal laws and regulations.
• Vendors are responsible for collecting and remitting any applicable sales taxes.
